Invoice Comments, Attachments and Audit Trail


Every invoice row in Invoicing Advanced carries a stack of small action icons beyond edit — attachments, comments, and an audit trail. Invoicing Advanced: Managing Expense, Sales & Other Invoices covers the core invoice list; this article covers what those icons open.

The per-invoice action icons

On the right edge of every invoice row — Expense, Sales, or Other — a short stack of icons sits next to the edit pencil: a clock (Invoice Audit), an attachment indicator, a comment bubble, and a "more actions" menu.

What it shows

Attachments

A paperclip badge showing how many files are attached to this invoice — visible directly in the list without opening the row.

Modified By / At

Who last touched the invoice and when — Finac itself for system-generated entries, or a named team member for a manual edit.

Payment Status

Pending, Paid, or Partial Paid, color-coded for a quick scan down the list.

Clock icon

Opens Invoice Audit — a log of edits made to this specific invoice.

Comment bubble

Opens All Comments — a running discussion thread attached to this invoice.

Attachments

The Attachments column badge is a live count of files attached to that invoice — the source document(s) an invoice was generated or supported by, such as the original bill or a scanned receipt. A client with active document processing typically shows most rows carrying at least one attachment, as seen throughout the list above.

Comments

The comment bubble opens All Comments — a per-invoice discussion thread. It's where the team flags something that needs attention on a specific invoice, rather than emailing or messaging about it separately.

All Comments on a real invoice (KESP/1035/26-27, ₹14,090) — a system comment from Finac flagging a specific pending item: "Nature of Income — Sales Account," with the full line-item and tax breakdown, and a Leave Comment box to reply.

  • The panel header repeats the invoice number, date, and amount, so the comment thread is never ambiguous about which invoice it belongs to.
  • Leave Comment — type a note and Post it to the thread. Comments from Finac itself often flag a specific data-quality issue, like the pending Nature of Income classification shown above, that needs a team member's input before the invoice is finalized.

Note: Because comments are tied to the invoice, they're a durable record — anyone who opens that invoice later, not just the person who left the comment, can see what was flagged and why.

Invoice Audit

The clock icon opens Invoice Audit for that specific invoice, with a Load More control for older entries.

Invoice Audit for an invoice with no logged edits yet — "No Invoice Audit Found! Upload some data to view history!"

An empty Invoice Audit simply means this particular invoice hasn't had a tracked edit since it was created — the audit trail logs changes made after the fact, not the original creation event itself. Once a field on the invoice is edited, that change appears here.

Why does Invoice Audit show no entries for most of my invoices?

Invoice Audit logs edits made to an invoice after its creation — an invoice that hasn't been modified since it was generated or uploaded won't have any audit entries yet, which is expected rather than a sign of missing data.

Can I attach a new file to an invoice after it's been created?

The Attachments badge reflects files already on the invoice; adding a new one is done from the invoice's edit view alongside its other details.

Who can see comments left on an invoice?

Comments are visible to anyone with access to that client's Invoicing Advanced module — they're a shared thread, not a private note.
